Summary The role of Administrative Assistant requires attention to detail, ability to respond effectively to changing workloads and priorities, and the ability to stay organized while helping others get organized This is an autonomous role with the need to be comfortable being independent and making decisions. Responsibilities Responsible for Reception desk and front visitor entrance. Answering phones and directing calls. Greeting visitors with oversite on security check in for all visitors to the plant. Sorting incoming mail and delivery as well as preparing outgoing mail. Supporting finance/office administration with filing, making copies, mailings, etc. Order and maintain office supplies including monitoring inventory of supplies, ordering, stocking and working with vendors in controlling costs. Maintain office equipment, working with vendors when needed for repairs or servicing, sourcing new vendors if necessary. Provide support in planning visits from outside vendors, customers- ordering lunches/meals, preparing conference rooms, etc. Administrative support to GM and other management members Support to accounting processes -verification of invoices with shipping documents to ensure deliveries and accurate costing other administrative duties as requested Requirements Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, and SharePoint Knowledge of financial software Business Works or similar preferred Excellent communication skills for interface with customers, callers, and internal customers 1+ years of experience providing senior level assistance in a fast-paced environment Excellent organization, planning, time management, and problem-solving skills Highly motivated, organized, and able to work effectively with minimal supervision Positive, proactive, and able to consistently exercise good judgment A demonstrated ability to respond effectively to changing workloads and priorities Ability to listen to constructive feedback and adjust as appropriate
