Provide administrative support to The UltraWellness Center team. Assists with special projects as needed.
Answers incoming calls promptly attempting to assist caller with their questions; forward calls that can be immediately triaged; take written documentation for calls that need further triaging, following up within the team to ensure that callers needs have been addressed
Schedule RN phone appointments as appropriate
Schedule follow up appointments with provider upon completion of phone appointment
Monitor fax in box ensuring communication received is appropriately attached to patient files and/or forwarded to the proper person for follow through
Scan documentations into EMR as needed
Print and then scan patient Nutrition Plan in EMR chart
Assist billing department with sending out international patient billing statements
Monitor postage meter balance and notify Controller when additional funds are needed
Add funds to postage meter once processed by Controller
Print, sort, and file material needed for New Patient Folder
Collect NP daily count data and enter in Excel Spreadsheet.
Assist with processing requests for the release of medical records in accordance with HIPAA Privacy and Security Laws
Send empty toner cartridges to Hewlett Packard for credit processing
Provide administrative support to Admin team as well as Clinical team
Responds to all e-mail communication promptly
Maintains a safe and clean working environment
Complies with all OSHA regulations
Complies with all HIPAA Privacy and Security Laws
Assists with any other office duties as required
Assist management team with projects as directed

Must have exceptional customer service skills
Knowledge of medical terminology and procedures
Ability to operate various types of office equipment (computer, phone, fax, copier, postage meter, etc)
Ability to work in fast-paced medical office
Ability to maintain confidentiality
Must be proficient in MS Office - including Outlook, Word, Excel
Excellent typing skills
Must be able to work on several tasks simultaneously and work within tight deadlines

High school diploma or equivalent
Management and/or supervisory experience
Minimum of two (2) years of experience in office setting, medical related setting or customer service.
