Provides executive support and broad administrative support to relieve and assist the BACO Executive Director and leadership of complex details and advanced administrative and coordination responsibilities. Requires ability to quickly acquire in-depth knowledge of the organization's operations, policies and procedures and maintains extensive interface between BACO, BMC, BMCHP departments and outside parties, including BACO providers, normally working with data that is of a critical and confidential nature. A high degree of initiative is required in preparing reports or presentations, resolving problems and developing recommendations. Handles multiple incoming matters of a highly confidential, time-sensitive, and critical nature. Assists and represents the Executive(s) in communicating with internal and external stakeholders, and ensures smooth integrated administrative support, coordination, and timely response. Provides Department level support as time or resources allow to support overall success of the ACO. Key Functions/Responsibilities:* Coordinates executive's calendar, meetings, schedule, travel arrangements, expense reports, and prepares requisite materials. Consults with executive as needed to solicit information, provide critical updates and to coordinate information and priorities. Exercises tact, diplomacy and discretion in written and verbal communications. May review and screen emails and correspondences to sort and identify priorities for immediate action. * Responds to a wide variety of requests for information, policies and procedures, and executive action. Analyzes needs and problems, and determines approach and priority. Exercises tact, discretion, and an understanding of technical and organizational materials, issues and impact. Takes initiative to research technical or out of policy questions. Evaluates and refers matters for appropriate handling, and coordinates, compiles and documents relevant data and background information to support executive decision making or problem resolution. Works with highly confidential and time sensitive information.* Performs a broad range of administrative coordination and support duties requiring extensive communication within and outside the company. Execution of assignments requires a high degree of independent action, considerable judgment and analytical skill. Work involves highly confidential or sensitive information where impact of error would be great. * Works with Executives and leadership to plan, coordinate, prepare and follow up to BACO and MSO Board meetings and Board(s) Committee meetings. Works with ACO leadership to schedule, coordinate and plan large and/or key internal and external meetings. Prepares and polishes presentation materials. Provides administrative support of Executive and leadership communications with BACO providers and key stakeholders. * Applies multiple software applications at an advanced level. Creates highly confidential and complex memorandums, letters, reports, correspondence, charts, graphs, tables, statistical summaries, timelines and/or presentations. Operates and maintains basic business equipment such as copiers, printers, faxes, calculators, and multiple line telephones. Troubleshoots and resolves problems. * Plans, organizes and compiles data. Analyzes needs and problems, researches facts, determines approach, and coordinates information retrieval, control and documentation procedures. Exercising creativity, initiative and an understanding of the executive objective, independently manipulates systems and applications to prepare communications, budgets or data displays. Ensures accuracy of data/sources, and researches questions or problems demonstrating a sound knowledge of corporate and divisional policies and operations.* Independently performs special projects that require a combined knowledge of administrative needs and technical operations. Selects appropriate resources and analyzes data as required. Develops recommendations for executive approval and may assist with the implementation of contractual agreements or compliance activities. May train and supervise temporary support staff, or represent the group in or outside the company. * Works with leadership and other parties to develop, implement, update and maintain associated BACO website(s) information and materials, exercising excellent project management, organizational, writing and communication skills. * Works with ACO leadership and management to support smooth and effective onboarding, off boarding and other common ACO staff HR issues as requested. * Organizes, tracks, updates and maintains files, budgets and operational data. Coordinates meetings and conferences and orders supplies. Distributes faxes and materials and coordinates administrative support matters. Applies a seasoned understanding of executive needs to efficiently manage administrative control systems. Required SkillsQualifications:Education:* AS Degree or the equivalent combination of training and experience plus 5 to 7 Years related experience * HS Degree plus 7-10 years related experiencePreferred/Desirable:* BA/BS Degree plus 3-5 years related experience is preferredExperience: * 5+ years of prior related administrative support experience is necessary.Preferred/Desirable:* Previous experience in a Healthcare/insurance field is preferred. Competencies, Skills, and Attributes: * Advanced application, written and verbal communication, and organizational skills* Skill interpreting Corporate and Departmental policies and procedures. * Visio and MS Office application skills (Word, Excel, PowerPoint) at the Advanced Level with experience with Charts, Graphs, Pivot Tables, etc. * Experience in websites (drafting materials, updating) ideal. * Skill in organizing resources and establishing priorities. * Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects under pressure.* Demonstrated ability to maintain confidentiality and composure under pressure. * Ability to be resourceful and work independently with minimal supervision.* Initiative, creativity and flexibility.* Ability to communicate at all levels of the organization * Collaborative team player.
