Financial Services Full Time/Part Time Administrative Assistant
Concord Wealth Management - Waltham, MA
A growing Financial Planning practice is looking for an experienced Administrative/Client Service Assistant. The ideal candidate should have administrative support experience and a high level of comfort in a professional office environment. This position provides the opportunity for the right candidate to interact with both the clients and the financial planner while working to support the planning practice. Must have excellent communication, technology, and organizational skills as well as the confidence and experience to prioritize and make sound decisions. This position has a lot of potential for growth.
Key Responsibilities:
• Handle all incoming phone calls
• Schedule and confirm all client and business meetings
• Prepare account applications and all other paperwork, correspondence, and forms accurately and efficiently
• Efficiently track pending paperwork and all outstanding work
• Update and maintain CRM system
• Ability to follow directions and complete tasks within specified time frames
Other Responsibilities:
• Composes and directs written communication to various people, both outside and within the financial institution.
• Assist in organizing prospect and client events and networking opportunities (create invitations, mailings, venue choices, etc.)
• Responsible for the physical flow of paperwork including filing, handling and dispersing incoming and outgoing mail, updating records, and compiling reports.
Service:
• Works directly with all clients on service questions and requests, handling challenges and opportunities with little or no stress. Maintains integrity of client information.
Compliance:
• Assists the Planner(s) in maintaining a compliant practice.
Soft Skills:
• Interacts with associates and clients in a courteous and respectful manner to create a consistent, predictable, positive work environment. Takes action on office priorities in a proactive way. Offers and gives assistance willingly, and is coachable.
• Good interpersonal, oral, and written communication skills; proficient using Microsoft Office (Word, Excel, Powerpoint, Outlook,etc); spelling and grammar skills; good math, accounting, and analytical skills; research, analysis, planning and organizational skills.
Education and Skill Requirement:
• High School degree required. Associate or bachelor's degree preferred.
• 1-5 years of Administrative experience required, and prior financial service experience preferred.

• This position is paid on an hourly basis.
