Part-Time Trust Administrator Job Description
Foundation Overview: Edwin Phillips Foundation is a charitable trust established under the will of Edwin Phillips. The Foundation’s primary focus is the needs of physically and mentally handicapped or disabled children age 22 or younger to enable them to live in their own homes. Geographically, the Trustees are directed to benefit: first, handicapped or disabled children in the Town of Marshfield, MA; second, to the extent funds are available, children in Plymouth County, MA; and third, children residing anywhere in MA.
Brief Job Description: The part-time trust administrator, may be either an individual or a firm, and reports to the five (5) Individual Trustees and Bank of America, N.A. Corporate Trustee. The part-time trust administrator is not a voting member of the Board of Trustees. In consultation with and through the Trustees, the trust administrator is primarily responsible for grants administration which includes overseeing the grant program, including soliciting and reviewing proposals, performing due diligence, responding to the Trustees, making recommendations, insuring accurate records and grant payments.
Reports to: Individual Trustees and Bank of America, N.A. Corporate Trustee
Maintain strong communications with the Trustees.
Review all requests for information, grant requests and provide a timely response.
Meet all required standards of confidentiality and safety.
Work directly with Individual Trustees and Bank of America, N.A. Corporate Trustee to educate the public as to the Edwin Phillips Foundation’s organizational mission, vision, goals
Provide assistance to grantees, when necessary, completing the grant application.
Write all grant summaries including the following information: name, address, phone, email, age, diagnosis, need, amount requested and previous grant history.
Conduct necessary site visits before, during, and/or at the end of the grant.
Negotiate with potential and approved grantees on project proposals.
Prepare all necessary support materials and distribute to all Trustees two (2) weeks in advance of each quarterly meeting.
Record, construct and maintain official records of meeting minutes.
Work closely with Bank of America to ensure grant payments are requested timely.
Obtain an executed grant agreement prior to mailing the grant check to grantee.
Ensure compliance with grant agreement and fund expenditures.
Produce periodic tracking report for Trustees.
Respond to trustee requests for information and assistance.
Conduct research as necessary.

Track Individual Trustee terms.
Assist the Trustees on research and contact for new trustees.
Provide new Trustees orientation.
Inform Trustees of pertinent educational opportunities.
Coordinate arrangements for special program meetings.
Represent and promote the Foundation with other foundations, associations and grantees, as appropriate.
Conduct community outreach into Plymouth County’s 27 cities and towns.
Work closely with website vendor.
Schedule four (4) quarterly Trustee meetings per year in advance of the next year.

Other duties as assigned from time to time.

Salary: Negotiable Part-Time Salary or Consulting Agreement.

Minimum Qualifications: Bachelor’s Degree in Education and prior experience preferred.
